
Managing your salon or spa team is more than balancing schedules, enforcing policies, and putting out daily fires. It’s more about coaching staff to realize their earning potential and being productive members of your business.
When it comes to coaching your team, specific reports within your management software offer key performance indicators (KPIs) you’ll want to analyze carefully. These reports provide a comprehensive overview of your business and employee performance and help you identify areas to improve; that way, you can create a customized strategy for your team.
Analyze your numbers for the entire business:
An excellent place to begin is a Total Sheet, which displays a detailed financial record of your business with both services and retail sales, plus deposits, gift card sales and redemptions, packages, fees, tips, etc., all for the period you choose for the entire business. It’s a great way to get a snapshot of your salon or spa as a whole.
Running a Sales Growth Analysis report will allow you to evaluate the pace at which your business revenue grows over multiple periods, for example, comparing totals year over year.
Now, view your business’s sales activities with a Sales Analysis report. These reports help identify your most profitable services and products and track overall sales trends. Sales Analysis reports also help you spot underperforming employees so you can provide additional training and support to your team members to improve their sales performance.
Deep dive into employee performance:
A Ticket Summary report is another helpful tool for salons and spas to track their business performance. The report shows closed tickets by date range and individual service providers and displays services, product sales, tips by customer, and totals, including payment methods. You can run this report for a specific employee by selecting them from the drop-down after choosing a date range.
The Employee Sales Summary is similar to the Ticket Summary but offers more detail. It summarizes your employees’ sales for a given date range in a simple report. Totals for each employee include service sales, service discounts, retail sales, taxes, number of clients, service average per ticket, service average per ticket, retail average per ticket, retail-to-service ratio, and number of new clients.
To get an overview of pre-booked appointments, run the Appointments report. It provides the pre-booking percentage for each employee for scheduled appointments within a date range.
The Client Retention report allows you to see which clients are returning to your business, whether to the same or a new service provider.
With a commission report, you can calculate each employee’s service and retail commission rates based on the commission percentage (flat rate or commission scale) set in their profiles. Simplify payroll processes and precisely track your employees’ break-even sales goals.
A Productivity report combines data from several metrics to give you a broader view of employee productivity. These reports help analyze each employee’s efficiency across your business, resulting in an overall productivity percentage. Productivity reports track hours each employee was available, scheduled, or had time off and calculate the amount of time service providers are productive.
Make a plan:
Consider these metrics above and devise a plan for your business and each service provider. Set clear and realistic goals and create a plan to achieve these goals with ongoing reviews.
Use and share Service Provider Tracking reports to help break down the plan into bite-sized goals for the day, week, and month and track your team’s success. Service Provider Trackers use information from closed tickets and time clock punches to calculate averages for those periods.
If you check the box Run for each day, you will see a breakdown for each day during that date range.
The Service Provider Monthly Tracker allows you to select a custom date range or periods of 3, 6, 9, or 12 months.
